Core privacy settings and information sharing regulations

The platform is based on two core guidelines - information access and sharing:

a) Information directly related to a student is visible only by his parent (or whom he authorizes), by his teacher and by the school director. Consider for example the grades, absences and merits awarded..

b) Teacher shares information to his class only. At his school he doesn't have any access to data form classes he does not teach or to other disciplines in his class.

c) Information is strictly restricted to the context of the user. Users Cannot get any information about students from other institutions, other parents or other classes that he is not directly connected to.

d) For information not directly related to students, the user can define permission rules for others to access: private, visible to your network, visible to all WEDUC users or public.

WEDUC considers five different types of user profiles, with specific access rules for each:

The School Director has a profile that allows him to interact with all school users, that is, have permission to communicate with all students, parents and teachers assigned to his school.

Teacher profile restricts user access to the class he is assigned. A Teacher may be assigned to several classes, even from different schools, but while browsing on the platform he must select one single context (class / school) to interact. Teacher has only access to communicate with other teachers from his school(s), the school director, and parents and students in the classes he teaches.

teachers are unable to access any data or to contact with parents from other classes or disciplines

Parents are associated with one or more students, and can only access the data regarding them. A Parent may only communicate with the directors of the school of their children, the teachers associated with their classes and with other parents of students assigned to the same class.

Students can only interact with their colleagues from the same class, his teachers and the school Director

Parents will be able to create "family members", which in practice can access the same information as a Parent can, but cannot interact with anyone, are merely spectators.

Teachers can share the following information with Parents:

a) Assessments:

Assessments can be created for evaluating behaviour, eating, attendance, grades, homework or other criteria.

Teacher, relates each assessment to a specific student and may write a comment or review.

When creating assessments in a given class, a teacher has a list of the respective students and assigns a score to each of them. Although a teacher from the same interface is able to evaluate all the students in the class, each parent has only access to his own child assessments.

teacher cannot cannot create or view any assessments from classes he his not assigned, nor for subjects he does not teach to his classes.

b) Milestones:

Teacher can define milestones and register it´s progress by hies students. The privacy settings are the same as for assessments - each parent has only access only to his children's achievements & milestones report.

c) School program and Calendar:

All events in this tools are generated by teacher and only visible for parents within a given class.

d) Documents, links, Best practices, tutorials:

The author for each content sets the privacy and access rules (refer to chapter "general rules for sharing content)

e) Pictures:

Teachers must always share a picture to a single class and only parents from that class can access the photos. In the personal profile from parents, each of them can choose to allow or not the sharing of their children’s pictures. If unauthorized, an alert message is shown on teacher's interface each time he uploads a photo, in order to allow him to verify if any unauthorized student is in the pictures.

Except for the specific events listed in the previous section - which relate to the student's proprietary information (assessments, grades, etc..) and that users can not change - for most of the other content (eg documents, best practices, school program, the user's own personal profile) users can select the type of viewing permissions, which can be:

a) Private: No other user is able to view the content;

b) contacts: only users who are connected to the user himself can access the content. For instance in the case of a teacher, only other school teachers, the parents of his students and the director gain access to the document or content at issue;

c) Weduc network: All registered users in WEDUC have access to that content;

d) Public: all users have access to content.

User's personal profile

Each user can edit his personal and professional profile. The personal data is the general identification data: name, sex, date of birth, address, etc and professional profile data allows him to describe his professional and academic curricula.

Each of the data on the personal and professional profile has it's own privacy settings. For instance, the user can choose to keep his date of birth available to all users but his academic profile only visible to his list of contacts.

All profile data is editable by the user at any time, as well as the privacy settings.

All data, at a first stage, is visible only in the private area of the platform, accessible only to registered users by username / password.

Gradually some information will be visible on the public area of the site, namely:

a) Schools profile and, according to each user's privacy settings, the personal and professional profile of the respective teachers and Directors. The aim is that when selecting a school, parents may be aware of the activities it offers and it's teachers. Teachers and Directors may define which of their profile data is visible to the public;

b) Discussion forums;

c) Best practices that users wish to publicize;

d) Tutorials that users wish to publicize.

User unique ID

Each user must have a unique ID on the platform, as all profile and permission rules are related to the person, not to the profile (eg, a teacher who is also a parent can view the grades of their children with the profile "parent", and switching to profile" Teacher" can create assessments for his students, always within the same login / password.

The application is prepared for the user's login to be his identity card number, and an encryption algorithm has been used that makes it impossible for someone to reverse the process. That is, from the string created by the algorithm to register the user in the database is not possible to rebuild the ID card name of the user. This number is never visible to any user as it is not stored in the database.

Communication with users

On user's pages it will be presented relevant information related with education and leisure, according to his profile and location(eg: other schools, tutors, activity centres, etc.).

To select what information is relevant to present to the user, an anonymous profiling mechanism is used, by automatic and anonymous processing,that selects what info is relevant according to each individual profile, without never allowing his identification.

general data processing policies

WEDUC never will not give any personal information to third parties for any use. If this were to be considered in the future, it will always be obtained the user's previous explicit consent.

WEDUC allows each user at any time to access his personal data, through the platform. WEDUC provides a list of contacts at the website so that any user can request access, correction, update, or deletion of his personal data.
